Withdrawal and Financial Aid Repayment
If students withdraw or stop attending some or all their classes, they may have to repay a portion of their federal financial aid. This process is called the Return of Title IV Funds (R2T4) and is required by federal law.
What is Title IV Aid?
Title IV aid refers to federal financial aid programs. At KCKCC, this includes:
- Federal Pell Grant
- Federal Supplemental Educational Opportunity Grant (SEOG)
- Federal Direct Subsidized Loan
- Federal Direct Unsubsidized Loan
- Federal Direct Parent PLUS Loan
It can also include Federal TEACH Grants and Iraq and Afghanistan Service Grants.
When Does This Policy Apply?
This policy applies if students:
- Officially withdraw from all of their classes
- Unofficially withdraw (stop attending without notifying KCKCC)
- Completely withdraw or partially withdraw from their coursework
- Fail to complete at least 60% of the semester
If students are thinking about withdrawing from a course, contact the financial aid office prior to the withdraw. The office can walk students through their personal situation.
If students never attend a course, their financial aid may be canceled.
What’s the Difference Between Official and Unofficial Withdrawal?
Official Withdrawal
Students officially withdraw when they:
- Drop all classes through Self-Service
- Submit a withdrawal form through their Student Success Advisor
Unofficial Withdrawal
Students are considered unofficially withdrawn if they:
- Stop attending classes without formally withdrawing
- Are administratively withdrawn by instructors and their last date of academic activity is reported
- Receive all failing or incomplete grades at the end of the semester and their instructors report the last date of academic activity
What About Mid-Term, Block or Mini Courses?
Courses that don’t run the full length of the semester, whether shorter or longer, are called modules or modular courses. These include mid-term, block or mini classes with different start and end dates from the standard semester.
Students are not considered withdrawn from modular courses if they:
- Complete their degree during the term
- Complete one or more modules that add up to 49% or more of the term
- Complete coursework equal to at least 6 eligible credit hours
Important Reminders
- The KCKCC R2T4 policy is separate from the KCKCC tuition refund policy.
- Withdrawing can also affect Satisfactory Academic Progress (SAP).
