Approval and Usage of the PAC Guidelines

Approval

  1. A completed Facility Usage Request Form must be submitted before any request can be considered. Failure to provide complete information will result in the return of the form to the requestor and cause delays in the approval process. Requests are approved in the order in which they were received.
  2. All requestors must provide proof of liability insurance in the amount of $1,000,000 at the time of application. Organizations requesting rental fees at the nonprofit rate must provide proof of 501c3 status at the time of application.
  3. Rental fees include the hours of preparation, actual event, and clean-up following; services required to ensure safe, effective use of the facility and property; and the charitable status of the requesting organization. An estimated cost will be given at the time of approval; however, it may be updated during the production meeting and/or at the conclusion of the event, depending upon actual usage.
  4. All fees determined at the production meeting must be received by Mayre Hoffman at least 30 days prior to the event. Checks should be sent to:

  5. Additional charges incurred (additional janitorial services, property damages, etc.) will be billed after the event. Payment is expected within 30 days of invoice. Failure to comply will result in the denial of any future rentals and possible recovery action.
  6. It is the renter’s responsibility to notify Mayre Hoffman of the intent to cancel at least 30 days prior to the scheduled event in writing. Failure to comply will result in the forfeiture of deposited monies.

Usage

Applications will be reviewed and approved if the proposed activity and use meets certain criteria. Please consider:

  • The Performing Arts Center (PAC) is an instructional space. Activities requiring the displacement of scheduled classes will generally not be approved.
  • Sets for the annual shows are built on the PAC stage. Activities interfering with set construction will generally not be approved.
  • Rehearsals for the annual shows move into the PAC about 3 weeks before opening. Activities interfering with rehearsals will generally not be approved.
  • Campus groups (musical ensembles, graduations, etc.) will generally have priority over community requestors.
  • Facility requests for events occurring during spring, winter, summer, and campus holidays will be determined by availability and staffing.
  • Any Stage Weaponry must be approved for use prior to scheduling the facility.
